Certificates, Inspection and the Export Document Set

A compliant price with a missing certificate loses to a higher price with a complete file. We agree the document set at quotation stage, not after the container has sailed.

Documents we issue

Which of these apply depends on the product and the destination. We confirm the exact set in writing before shipment.

Commercial Invoice

Issued against the signed sales contract or proforma.

Packing List

Per container, with net and gross weights and seal numbers.

Bill of Lading

Original or telex release, as agreed in the contract.

Certificate of Origin

Chamber of commerce attested; SADC or EUR.1 where applicable.

Certificate of Analysis

Batch-linked, issued by the producer or an independent laboratory.

Technical Data Sheet

Product grade, properties and handling guidance.

Safety Data Sheet

Provided for all chemical and hazardous classified cargo.

Phytosanitary / Health Certificate

For agricultural, feed and food consignments where required.

Fumigation Certificate

For timber, grain and packaging where the destination requires it.

Pre-shipment Inspection Report

SGS, Bureau Veritas or Intertek, at buyer's nomination.

Quality control

Specification is confirmed before the order is accepted and verified against a batch-linked certificate of analysis before loading. Where a buyer nominates an independent inspection agency, the inspector attends loading and the report forms part of the document set.

What we will not do

We do not issue certificates we do not hold, and we do not describe a sourced product as our own manufacture. If a destination requires a certification we cannot obtain, we say so at enquiry stage.
